Using Events

This guide is for the people who run events on the site: editors who create and schedule events, and administrators who manage venues, attendees, and the calendar. No technical knowledge needed. Every step uses the labels you see on screen.

  1. Go to Content > Events.
  2. The list shows each event’s start date, Venue, and Visibility.
  3. Use this view to find an event before opening it to change its schedule or registration settings.
  4. Click an event to open it for editing, or use New event to start a new one.

An editor reviews upcoming event records before opening one to change its schedule or registration.

  1. From Content > Events, click the button to create a new event.
  2. Under Event details, give the event a Name, choose its Site, and pick a layout. Set the Visibility to Public so it appears on the site, or to Unlisted or Private to keep it out of public listings.
  3. Under Schedule, set Starts at and, if it has an end time, Ends at. Set the Timezone, and switch on All day for events without set hours.
  4. To repeat the event, fill in the Recurrence rule. The package then builds a separate dated page for each occurrence.
  5. Under Settings, choose the Location mode and, if it is held at a place, pick a Venue.
  6. Under Registration, choose a Booking mode. For an outside ticket page, set External and add the Booking URL. To take sign-ups on the site, choose the RSVP option, set a Capacity, and turn on Waitlist enabled so people can still join once it is full.
  7. To email attendees before the event, leave Send reminder emails on and set the Reminder offsets in minutes before the start.
  8. Save the event.

An editor creates an event with schedule, recurrence, visibility, publishing, and registration settings.

  1. Go to Content > Events and open the event.
  2. Change the Schedule or Recurrence rule as needed. The generated occurrences update to match.
  3. Check the Visibility and Registration settings before saving.
  4. Save the event.

An editor adjusts an existing recurring event and checks its registration and publication state before saving.

  1. Go to Content > Event venues.
  2. Add a venue and fill in its Address and Map URL so the place shows correctly on the event page.
  3. Reuse the same venue across many events instead of typing the address each time.

An administrator manages reusable venues for events and confirms address details are visible.

How to review the dates of a recurring event

Section titled “How to review the dates of a recurring event”
  1. Go to Content > Event occurrences.
  2. This shows the individual dates the package generated for your events, with each occurrence’s Status and registration count.
  3. To change a single date, use Reschedule occurrence. To call one off without affecting the rest, use Cancel occurrence.

An editor reviews generated event dates with their statuses and registration counts.

  1. Go to Content > Event registrations.
  2. The list shows each attendee’s Name, Email, Quantity, Status, and the occurrence they signed up for.
  3. Use Confirm registration to approve a pending sign-up, or Cancel registration to remove one. When a confirmed place is freed, a waitlisted attendee can move up.

An administrator reviews attendee registrations with their quantities, statuses, and related occurrences.

How to scan upcoming events on the calendar

Section titled “How to scan upcoming events on the calendar”
  1. Go to Content > Event calendar.
  2. The calendar shows upcoming event occurrences across the coming weeks so you can see the programme at a glance.
  3. Use the month controls to move between Previous month and Next month.

An editor opens the admin calendar to scan event occurrences across the next publishing window.

How to see upcoming events without leaving your work

Section titled “How to see upcoming events without leaving your work”
  1. The event calendar widget appears on the dashboard where it has been added.
  2. It lists upcoming event dates so you can check the near-term schedule without opening the full calendar.

An editor checks the calendar widget for upcoming event dates without leaving the current admin context.

  • Events and the schedule. This is the core of the package: creating an event, setting its schedule, and publishing it. Start here and get your team comfortable creating a single event before adding recurrence or registration.
